10 Reasons to Offer Onsite Flu Shots for Employees

An onsite flu shot clinic brings vaccination to your workplace instead of asking every employee to arrange a separate visit. For employers, the strongest reasons to consider one are practical: easier access, a coordinated schedule, and a manageable way to support employee health.

Here are 10 reasons to consider a clinic, along with the planning decisions that make each benefit more useful. These are reasons to offer the service, not promises of a flu-free workplace or a guaranteed financial return.

1. Employees can get a flu shot where they already work

An office, warehouse, or hotel becomes the clinic location for an agreed time window. Employees who choose to participate can attend at work rather than finding another place to go. The convenience matters most when the clinic is scheduled on a day your intended participants will actually be onsite.

2. It removes the separate trip to a vaccination location

A workplace clinic can reduce the time involved in traveling elsewhere for a flu shot. That is different from promising zero time away from work: employees still need time to attend the clinic. CDC’s archived employer guidance identifies reduced time away to obtain vaccination as a workplace benefit.

3. It turns an annual reminder into a concrete opportunity

“Remember your flu shot” is easy to put off. An invitation with a confirmed location, date, and attendance instructions gives interested employees a specific next step. Before sending that invitation, make sure the provider has confirmed your clinic and the information employees need.

4. Flu vaccination can reduce the risk of flu illness

CDC reports that flu vaccination can reduce the risk of getting sick with flu. Effectiveness varies by season and individual circumstances. Bringing the clinic onsite improves access to vaccination; it does not make the vaccine itself more effective.

5. The potential health benefit goes beyond avoiding a sick day

CDC also describes evidence that vaccination can reduce flu-related hospitalization and the severity of illness in people hospitalized with flu. Those are health benefits, not a basis for promising a particular reduction in your company’s absences. Employees should discuss individual vaccine questions with a healthcare professional.

6. You can discuss the needs of shift-based teams

For production, distribution, or hospitality workplaces, ask whether a provider can accommodate the shifts you want to reach. Give actual proposed hours and participant estimates. Multiple sessions, evening coverage, and additional staffing should be confirmed explicitly rather than assumed to be part of a standard clinic.

7. Hybrid workplaces can plan around an in-office day

A clinic can fit into a day when colleagues are already together. Ask who expects to participate before selecting a date, and check that it does not conflict with a major meeting or office closure. Our office clinic planning page covers those attendance and space considerations.

8. Smaller teams may be able to host their own clinic

You do not always need a large workforce. The Flu Shot Guys has a 15-person minimum for onsite workplace clinics. This means clinic participants, not total employees. If you need separate sessions or locations, discuss how the minimum applies to each proposed arrangement.

9. HR can coordinate one clear communication plan

One internal contact can collect business planning details, confirm the clinic arrangement, and share approved employee instructions. Establish which tasks your team will handle and which the vendor will handle. A business quote form should not be used to collect employee medical histories or insurance documents.

10. A well-documented clinic is easier to plan next year

After the event, record the operational details that were helpful: the room used, building access, the scheduled window, and lessons about attendance. Keep business planning notes separate from individual health records. Those notes can give next season’s HR coordinator a useful starting point.

Is an onsite clinic the right fit for your employer?

Start with three questions: Do you expect enough participants to meet the provider’s minimum? Is there a suitable workplace space? Can you agree on the total cost and schedule? A small employer with 15 interested participants may be a better fit than a larger company whose employees are rarely onsite.

If attendance or space makes an onsite clinic impractical, another vaccination option may be more suitable. Compare arrangements before committing; a clinic should fit your workplace rather than create an administrative burden.
